Deputy Fiscal Officer

Job Opening:

The Hudson Library & Historical Society has an opening for a full time Deputy Fiscal Officer. Responsibilities include the following:

  • Payroll & Fringe Benefits - Assists with the implementation of annual insurance renewals and assists in payroll processing.

  • Accounts Payable Manages accounts payable functions, including auditing of requisition and invoices, entering invoices for payments, and maintaining accounts payable files, resolves issues with vendors, and signs purchase orders and checks in the absence of the Fiscal Officer.

  • Deposits and Banking - Receives, counts, balances, and deposits library funds, maintains files of deposit records, and balances bank accounts at end of each month.

  • Board Secretary Duties Performs secretarial duties for the Board of Trustees, attends all regular Board meetings, and takes and transcribes minutes.

  • Administrative Duties Acts as backup to Facilities Manager in the oversight of meeting room requests, attends all Finance Committee meetings, provides administrative support to the Fiscal Officer and Executive Director, and acts as backup to the Fiscal Officer.

  • Qualifications:

  • College degree in business or accounting, or a high school diploma with at least seven years of experience in job with similar responsibilities.

  • Strong proficiency in Microsoft Office products and accounting software.

  • Demonstrated integrity and honesty; must qualify to be bonded.

  • Excellent attention to detail. Must be able to meet deadlines.

  • Knowledge of administrative policies governing public entity financial practices and procedures.

  • Advance problem-solving skills required to address complex issues that may arise in the financial accounting of the Library. Must be able to set priorities and work independently.

  • Exceptional judgment and discretion required for handling Library funds and personnel information. Ability to maintain absolute confidentiality.

  • Excellent communication skills, both verbal and written.

  • Salary and Benefits:

    The Hudson Library and Historical Society, a 5-Star Library, is seeking a highly-motivated, innovative, collaborative and service oriented professional to lead a busy Youth Services Department. The ideal candidate must have a strong commitment to customer service; be able to lead as well as work effectively as part of a team; have excellent interpersonal and communication skills; the ability to prepare statistical data and budgets; demonstrated ability with online media, services and software; and the ability to develop and implement dynamic library programming and outreach.   • Master's Degree in Library/Information Science accredited by the American Library Association
  • 5+ years of progressively responsible supervisory experience and/or project management
  • Knowledgeable about emerging technology trends
  • Proficient in Microsoft Office Suite; coding is a plus
  • Salary and Benefits:

    Salary - $40,000.00 with a comprehensive benefits package.

    Job Title:   Head of Youth Services
    Immediate Supervisor:   Assistant Director for Library Services
    Positions Supervised:   Youth Services Librarians and Library Assistants
    FLSA Status:   Exempt

    Position Summary:

    Under the general supervision of the Assistant Director of Library Services, the Head of Youth Services provides strategic leadership in the planning, organizing, managing and directing of innovative youth services, activities and outreach. A member of the management team, the Head of Youth Services is responsible for implementing the Library's strategic vision.

    Principal Responsibilities:

  • Assists Library management by preparing various statistical and narrative monthly and annual reports and by researching grant opportunities related to youth services function.
  • Responsible for the interviewing, hiring, training, supervision and evaluation of departmental staff, practicum students and volunteers.
  • Oversees the selection and weeding of print and electronic children's and teen resources and media.
  • Oversees and helps implement all children's and teen programs and related services including event publicity and promotion.
  • Identifies library trends and emerging technologies and recommends new institutional initiatives to administration.
  • Under direction, reviews and evaluates departmental effectiveness, stakeholder needs, library trends and recommends new services, programs and procedures.
  • Works collaboratively with other department heads and administration as part of the library's management team.
  • Oversees departmental outreach initiatives.
  • Provides assistance and support at Public Service desks as needed.
  • Perform other duties as assigned.

  • Required Experience, Skills, Knowledge and Abilities:

  • Ability to think strategically and develop long range plans for implementation of innovative new library services and programs.
  • Possesses excellent communication and interpersonal skills and has a proven track record of motivating and developing staff as well as building team and community collaborations.
  • Demonstrated ability to direct and supervise the work of others through effective leadership and communication skills.
  • Knowledge of best practices, trends and developments related to Youth Services along with an extensive knowledge of youth literature.
  • Ability to set priorities and multitask.
  • Proficient in Microsoft Office Suite; knowledge of HTML and other web programming language is a plus; familiar with the Sirsi Unicorn Automation ILS; highly knowledgeable about library technology and emerging technologies.

  • Education and Experience:

  • Master's Degree in Library/Information Science accredited by the American Library Association.
  • 5+ years professional library experience with progressive management experience.
